Download the template for the list you are importing
Sign in to your business account and open the import option for clients or products. Download its CSV or Excel template. Each list has its own headings, so use the template for the type of records you are adding.
Copy your existing data into those columns. Keep the headings unchanged and place one record on each row. Save Excel files in the supported XLSX format or export the sheet as CSV. Keep a copy of your original spreadsheet so you can refer back to it.
Clean up the details before uploading
Check client names, email addresses and phone numbers for typing mistakes. Phone numbers are best kept as text in your spreadsheet so that a leading zero is preserved. For products, use clear descriptions and check the price values.
Avoid blank or repeated column headings. Put the intended value in each cell instead of relying on a formula to calculate it during import. Remove rows that are only notes or section labels; the file should contain the records you want to use in invoices and quotes.
Review errors and duplicates in the preview
After uploading, Invoiced shows a preview before saving the records. Read the errors and duplicate warnings. Compare flagged entries with your existing list and with other rows in the file, then correct the spreadsheet if needed.
Select the valid rows you want to import. The system checks the selected rows again when saving and skips invalid or duplicate records. Read the final imported and skipped counts so you know which entries were added.
Use the saved records in your next document
Open your clients or products list after the import and check a few entries against the original spreadsheet. Saved clients are customer records for your business; importing them does not create sign-in accounts for those customers.
You can now select those clients and products in the regular invoice or quotation editor. For a one-off customer or an item that is not in your list, Quick Invoice and Quick Quote still let you type the details directly.
